Nature of Requirements:
The following is a summary of the statement of work for this requirement.
The Correctional Service Canada has a requirement to provide maintenance and repair of Drumheller Institution's elevating devices.
Objectives: The Contractor must maintain the elevating devices. The contractor must maintain the elevating devices using all reasonable care to maintain the equipment in proper and safe working conditions using all reasonable care to maintain the equipment in proper and safe working conditions.
Deliverables:
The Contractor must provide maintenance and repair to the Elevating Devices.
The Contractor must provide a maintenance Log associated with each piece of equipment, there is a maintenance log in every elevator, but the contractors must keep a maintenance log for their files.
The Contractor must record details of maintenance and repair services in the maintenance logs in a manner to clearly show the Contractor's conformance to the Maintenance Services, and the applicable Codes and Standards, as described in the Safety Codes. This log may be used as proof of delivery should there be any discrepancies between services rendered and the service invoices. If in question of a repair being completed. The contractor can prove their work with their logs.
The Contractor must adhere to the maintenance requirements and intervals provided within the Elevating Devices Log as a minimum. Should the contractor deem that the maintenance requirements and intervals must be increased, the Contractor must advise the Project Authority for approval. Once the increased maintenance requirements and intervals are approved, the Contractor must note them in the Maintenance Logbook.
The Contractor must register all Work on the equipment performed under this contract in the maintenance logbook The Contractor must include the elevating device number, date, time of arrival, Contractor employee's name, nature of the work or problem, action taken and time of departure. The Contractor must provide the Logbook at the start of the contract and must be kept in the elevator machine room and made available to the Project Authority.
The Contractor must provide an equipment specific Maintenance Control Program (MCP) as per the requirements of the Regulatory Authority Having Jurisdiction and ASME A17.1/CSA B 44 Safety Code for Elevators (requirement 8.6.1.2.1). If any portion of the MCP is deemed more stringent than the Particular Requirements of this document, then the Contractor must incorporate it into the MCP.
The Contractor must maintain records of all maintenance activities, adjustments, verifications, tests, repairs and modifications for the duration of the contract, and provide them to the Project Authority Representative upon request.
When malfunctioning elevating equipment cannot be returned to service within the same day, the Contractor must provide, by the end of the following working day, a written report to the Project authority describing the nature of the problem and the expected date of the service resumption.
When it is necessary to take all or part of the system(s) out of service, for inspections, tests, maintenance, service repairs or any combination of the four., the Contractor must make arrangements with the Project authority a minimum of seventy-two (72) hours in advance in emergency situations there may not be possible to give notice. The Contractor must provide details electronically to the Project authority outlining the scope of the work to be done, anticipated time frame and the equipment involved.
The Contractor must employ proven information collection and delivery techniques, methodologies and systems as necessary to efficiently meet CSC requirements for regulatory reporting and documentation as well as invoice verification.
The Contractor must ensure that their computer systems and information are protected with due regard to security and ensure information disaster recovery and backup plans and procedures are in place.
The Contractor must provide copies of all maintenance related work, tickets and visitation records with the invoices through allow the Project Authority to verify that the Contractor’s services are meeting the maintenance frequencies stated in the contract.
